Free Volunteer Fire Department Organizer
Most volunteer departments keep the admin side in a binder, an inbox, and the head of whoever has been secretary longest. This Google Sheet puts it in one place: who holds each office and when the term ends, members and recruits, follow-ups from every meeting, reports that come due on a schedule, grants, and where each record is filed. When an officer steps down, the next one picks up where they left off. Free. No email required.
Works in any browser and in the Google Sheets app. Prefer Excel? Make your copy, then choose File, Download, Microsoft Excel.
What it tracks
What Needs Attention: everything open, waiting, or past due across the workbook, with one "Do this next" line on top
Officers and Roles: who holds each office, when the term ends, and which seats are vacant
Members and Recruits: the roster, member status, applicants, and new member onboarding
Meetings and Recurring Duties: decisions and follow-ups from each meeting, plus reports and tasks that come due on a schedule
Grants, Records, and Training Records: what each grant is waiting on, where bylaws and agreements are filed, and where each training record is kept
Officer Handoff: a one-page summary for the next officer
How to start
Fill in the yellow Setup boxes on Start Here.
Add your officers and members. Everything else can wait.
After each meeting, log the follow-ups on Meetings and Actions.
Open What Needs Attention first every time. The top line tells you what to do next.
Sharing with your officers
Make your copy, then share it by email with your officers as editors. Avoid "Anyone with the link." It holds names and contact details.
Your department and state decide the rules
This is a recordkeeping aid only. It does not track emergency response, and it does not decide training, certification, compliance, or readiness. Your department, county, and state decide those. Check important records against the original source. Never type Social Security numbers, bank account numbers, passwords, or medical details.
