Free Parade Committee Command Center

Most parades run on one chair's email inbox, a volunteer group text, and sponsor promises nobody wrote down. This Google Sheet puts it in one place: every entry and lineup spot, who is volunteering where, which sponsors need a follow-up or thank-you, and every permit and road-closure to-do with an owner and a due date. Free. No email required.

Works in any browser and in the Google Sheets app. Prefer Excel? Make your copy, then choose File, Download, Microsoft Excel.

What it tracks

  • Start Here: a countdown to parade day, red boxes for what needs attention, and your next three to-dos

  • Entries: every group, contact, fee, lineup number and staging area. Two confirmed entries with the same lineup number get flagged

  • Volunteers: jobs, shifts, where to report, and who has confirmed

  • Sponsors: what each sponsor is giving, follow-up dates, and thank-yous sent

  • To Do: permits, insurance, road closures, vendors and announcements, with an owner and a due date. Overdue turns red

  • Parade Day: a printable morning-of checklist for your crew

How to start

  • Open Start Here and add your parade name, date, and step-off time.

  • Add your to-dos on To Do first. Permits and insurance take the longest.

  • Add entries, volunteers, and sponsors as they sign up.

  • Check Start Here once a week. How to Use is a 2-minute read.

Permits and safety

This is an organizing aid only. It does not approve permits, insurance, road closures, or safety plans. Your town, police, fire department, and insurance agent decide those. Store only what your committee already collects. Never type Social Security numbers, bank account numbers, passwords, or medical details.
